How to Use

  1. Set the Launch / event date, the deadline the print job must be ready by
  2. Adjust the six stage day fields: Artwork & revisions, Proofing, Approval, Production, Finishing, Logistics
  3. Read each stage's start and end dates in the table, plus Latest kickoff and Total lead
  4. If the kickoff date has passed, compress stages or discuss a rush option, then download the HTML file

Method & Assumptions

The show opens September 15 and it is already mid-August. Is there still time? The planner answers by subtraction: take the target date, walk backward through six stages, and the landing point is your latest safe kickoff. Start later than that line and every passing day comes out of proofing or approval.

Each stage guards against a different disaster. Artwork catches file problems, the proof catches color and spec surprises, approval catches content errors, production and finishing are the actual making, logistics gets goods into hands. When schedules get squeezed, the proof is usually the first thing cut, and it happens to be the gate standing between you and a full reprint.

The defaults are generic reference points, not promised lead times. Artwork 2, proof 3, approval 2, production 5, finishing 3, logistics 2, good for a first pass. Real durations move with job complexity and shop capacity, so once quotes come back, swap in the shop's numbers and re-plan; that version is the one you can commit to.

Days are calendar days; holidays are not excluded. The tool has no idea your job straddles Lunar New Year. Pad around long holidays yourself, because printers book up well before festival seasons and peak-season production stretches noticeably, so starting early beats every compression trick.

The plan is serial and conservative. Stages run end to end with no overlap, which errs safe. Real production does overlap finishing with press time, but parallel scheduling carries coordination costs; leave it to the shop's production planner, then backfill the real checkpoints.

The finished timeline downloads as an HTML file, generated locally in the browser. Paste it into the project channel or staple it to the spec sheet, so design, marketing and the printer all read the same dates.

Use Cases

  • An exhibitor with a 9/15 show: defaults total 17 calendar days, so kickoff by 8/29. If today is 9/1, the conversation is compression, not more design revisions.
  • A product launch needing cartons plus flyers: two plans, and the carton line adds diecutting and gluing days, so its earlier kickoff sets the whole project's start.
  • Festival gift boxes: production changed from 5 to the shop's quoted peak-season 10 days, logistics from 2 to 4. Kickoff moves a full week earlier, and it still fits.
  • Marketing asks for 500 brochures in two weeks: the defaults need 17 days against 14 available, so the fix is negotiating digital printing with the shop: no plates, shorter production.
  • An export job: swap the 2 logistics days for real ocean-freight plus customs figures, and the bottleneck turns out to be sailing schedules, not the press.
  • A project manager reviewing a late job feeds the actual days back into the six stages, finds which one really caused the delay, and locks that stage earlier next time

FAQ

How long does a print job usually take?
As a generic reference, a simple commercial job runs about 17 calendar days end to end on the defaults (artwork 2, proof 3, approval 2, production 5, finishing 3, logistics 2). Treat that as a first-pass baseline only. Actual durations depend on job complexity and the shop's schedule, and the shop's quote is the number that counts.
Are the default durations a promised lead time?
No. They are generic reference values no printer has committed to; the same job can need very different production time in peak versus off season. Use the defaults to see the shape of the schedule, then swap in the shop's quoted days and re-plan.
Can I skip the proof?
Better not. The proof is the gate that catches color shifts and spec misunderstandings before volume; the three days saved are wagered against a full reprint. If time is truly short, negotiate a rush digital proof rather than going straight to press.
The latest kickoff has already passed. Now what?
Try three things in order: ask the shop to compress production (rush fees apply), simplify or split the finishing, or run a digital first batch with offset replenishment. If none work, the launch date has to move, and the earlier you say so, the more options everyone has.
Are holidays counted?
No. Everything is calendar days with no holiday exclusion. If the job straddles a long holiday, lengthen the affected stages yourself. Print schedules around festival seasons fill up early, so over-pad rather than under.
Are two days enough for logistics?
For local delivery, usually. Bulk cross-region shipments, islands and exports need real figures, since exports add customs clearance and sailing schedules. Logistics is the most underestimated stage because it sits entirely outside the printer's control.
Can stages overlap?
The tool plans serially on purpose, which errs safe. Real production does overlap finishing with press time, but coordinating that belongs to the shop's production planner. Use the serial result as your safety line, then backfill the shop's parallel schedule.
