A Complete Guide to Font Rejections

A print shop can reject a file with font problems because font issues affect both output stability and copyright risk. In prepress rejection lists, they often rank among the top three causes

When I review files on-site, what worries me most is not whether the design looks bad. It is when the PDF looks normal, then the issue only appears once it enters the RIP, short for Raster Image Processor, the system that converts a PDF into halftone dots or image data before print output. At that point, the press is waiting for files, the paper is waiting to be printed, the deadline slips, and it is hard to put all the responsibility on the print shop

A font showing correctly on your computer only means your computer has that typeface installed. Once the file reaches the print shop, their computer may not have the same typeface, and they may not have the legal right to use it. If the PDF does not embed the fonts, the system may substitute a similar font. With Chinese text, the most common results are missing characters, garbled text, shifted punctuation, and changed line spacing

MINDS checks print files through three gates:

・1. Whether the fonts in the PDF are embedded or outlined

・2. Whether the source file has been collected with Package, including fonts, images, and links

・3. Whether commercial printing, outsourced output, and PDF embedding are covered by the license

Embedding fonts means placing font information inside the PDF. Outlining text means converting type into vector contours. The first keeps text properties intact. The second improves output stability, but the text can no longer be edited after conversion

Font embedding means the PDF carries the typeface data needed for output, so the print side can display and print the file as intended even if the font is not installed there. If you see Embedded Subset, it usually means only the characters used in the document have been embedded. The file is smaller, and it is still enough for printing

Create outlines means converting text into vector shapes, so the print side no longer needs the font file. Adobe Illustrator, Adobe's vector design and artwork preparation tool, often uses this approach for packaging, stickers, and posters. It is especially suitable for headlines, logo text, and special typefaces

But I do not recommend outlining an entire long-form document. When Adobe InDesign, Adobe's layout and publishing tool, is used for catalogs, books, and manuals, there is a lot of text. Outlining everything makes the file heavier and removes search, copy, and later text-editing ability. The worst revision is when a client changes one phone number and all you have left is a fully outlined PDF

Before sending files to print, keep two versions:

・An editable source file for revisions and traceability

・A print-ready PDF with fonts embedded or key areas outlined

In Adobe Acrobat, use File > Properties > Fonts to quickly check the font status inside a PDF. If you see any font that is not embedded, the file should not go straight to print

Adobe Acrobat, Adobe's tool for viewing, commenting on, and preflighting PDFs, is one habit every designer should build before handing off files. After opening the PDF, go to File > Properties > Fonts and check whether each font shows Embedded or Embedded Subset. Those two English status labels are the first place prepress looks to judge whether the fonts travel with the PDF

My checking order is always the same:

・First check whether any font has neither Embedded nor Embedded Subset

・Then zoom to 400% and inspect thin type, punctuation, and mixed English-number layouts for shifting

・Next, spot-check brand names, phone numbers, prices, and small text near barcodes

・Finally, open the PDF on another computer or environment where the font is not installed

PDF/X, the print-exchange PDF standard defined by ISO 15930 for specifying output conditions in print PDFs, is also commonly required by print shops. Designers do not need to memorize the standard, but they should at least know this: a print PDF is not a screenshot. Fonts, color, bleed, and image resolution all have to be readable by the output side in a stable way

The Package feature in Illustrator and InDesign can collect the source file, linked images, and fonts, but Package only organizes handoff materials. It does not automatically obtain font licenses for you

Package means gathering the layout file, linked images, document fonts, and report file into one folder so the print shop or the next production artist can take over more easily. This is especially useful for catalogs, flyers, exhibition graphics, and brand identity extensions that go through frequent revisions

Standard practice in Illustrator:

・Save an editable AI file before handoff

・Run File > Package

・Confirm that Links, Fonts, and Report have all been collected into the folder

・Save another outlined version and mark outline in the file name

・Export a PDF for the print shop to preflight and compare against the artwork

Standard practice in InDesign:

・Use Preflight first to check missing images, overset text, and font warnings

・Run File > Package

・Check Links and Images, Fonts, and Instructions

・Export the print-ready PDF, and keep the .indd source file plus the Links folder

・Even if the print shop only accepts PDFs, keep a complete Package for future revisions

I remind designers that having font files inside a Package does not mean you can pass those font files around freely. When a print shop rejects a file, it is often not because they refuse to help. It is because they do not want to carry the risk for unclear licensing

Free fonts are not automatically approved for commercial printing. Designers need to read the EULA or open-source license terms and confirm whether commercial use, PDF embedding, and outsourced output are allowed

The EULA, short for End User License Agreement, is the basis for judgment. It is the usage terms attached to a typeface purchase or subscription, and it may restrict commercial printing, PDF embedding, transferring font files, or use by outside vendors. A free download is only how you obtained the font. It is not the license scope

Traditional Chinese fonts on Google Fonts, Google's open-source font directory, commonly show the SIL Open Font License. The SIL Open Font License, or OFL, is a common open-source font license that usually allows use, modification, and distribution, as long as the license text is kept and the font naming rules are followed. The real trouble on-site often comes from designers downloading a same-name font from a non-original source, using a repackaged version, or treating a cloud subscription font as a font file that can be freely sent to vendors

Before handoff, I suggest making font licensing part of file management:

・Keep the license page, purchase record, or download source for fonts used in commercial projects

・When a client specifies a font, ask the client to confirm that the license covers printing and outsourced production

・Before a cloud font subscription expires, export a PDF with embedded fonts or a legally outlined version

・Always save a new file before outlining, because text cannot be edited after outlining

・If fonts are not embedded, the PDF only looks complete. It is not truly tested until it enters the RIP

・Outlining is suitable for headlines, logos, and special type. Long-form layouts should still rely mainly on correct font embedding

・Package is handoff organization, not a license certificate

・Free download does not mean free commercial use. The EULA is what decides whether a font can be printed

・Checking the Fonts page in Acrobat before sending a file to print is far cheaper than fixing a rejected job afterward

Designers should treat font management as part of final artwork specifications instead of waiting for the print shop to point it out. Print manufacturers can turn Acrobat font checks, Package checks, and license declarations into intake fields. For SaaS and AI tools, warning users about unembedded fonts, missing license records, and suspicious repackaged fonts at PDF upload would be more valuable than customer support after the fact
