When I receive files at a print shop, the scariest files are not the complicated ones. They are the ones that look complete, then turn out to be missing images, fonts, or finishing notes after opening. Those jobs get stuck most often after quotation, before going on press, or when the client is already chasing delivery

It is simple

Packaging is not making one more backup. Packaging means handing over, at the moment of file delivery, everything this design needs in order to be reproduced

Why can the print shop open the AI file but still be missing images?

A linked image in Illustrator is like a pickup slip. The AI file knows where the image used to be, but the image itself may not be inside the main file. Product photos on the designer's desktop, retouched PSDs in a cloud sync folder, and background images on an external drive will all be missing on the print shop's computer unless they are delivered together

A common case is a company catalog with 24 product images. The designer sends only the .ai file and the PDF. When the print shop opens the AI file, image number 7 shows up as a Missing Link. The layout position is still there, but output quality drops back to a low-resolution preview. Once everyone starts hunting for the image, project time starts getting eaten by back-and-forth messages

Fonts are the same kind of problem. When fonts are missing, Illustrator asks for font replacement. If one Chinese sans-serif is swapped for another, character width, leading, and punctuation positions may all shift. A one-line job title on a business card becomes two lines. The 3mm safety margin on the back label of packaging gets squeezed out. At that point, the production team cannot pretend they did not see it

Swatches and finishing information also need to be clear. If CMYK, Spot Color, white ink, foil stamping, and spot UV are mixed into the same layer, or if the layer is named only "Layer 5," the receiving side has a hard time telling whether it is a design color block or a post-press plate. What should you check before packaging?

Before packaging, open Illustrator's Links panel and clean up its status. Do not leave Missing, Modified, or low-resolution previews for the print shop to guess. The receiving side can handle print issues, but it cannot decide for you which image is the final one

・Image resolution: for general commercial printing, around 300 ppi at final output size is often used as a checking reference. Special materials and viewing distance need separate judgment

Version notes matter too. Do not name files final, final2, or final_new. A name like YYYYMMDD_Client_Product_v03_package is better, because the date, client, item, and version are all readable within 30 seconds

Should images be embedded or kept as linked images?

For image-heavy catalogs, packaging, and posters, I recommend keeping images as linked images first, then using Package to collect the Links. This keeps the main file more stable, makes image updates easier to trace by version, and still lets the print shop check each image's resolution and color status after receiving the complete folder

Embedded images work well for small image files, logos, or single assets that are already final. Embedding reduces the risk of Missing Link, but the AI file becomes heavier and image sources are harder to trace. For an 80-page catalog or many high-resolution product photos, I would not force every image into the main file

Placed PDFs need extra care. A PDF may look like one complete object, but its fonts, transparency effects, crop boxes, and color settings may not be suitable for secondary editing. If packaging die lines, sticker labels, or special finishing requires plate separation, relying only on a placed PDF can easily strip away the clues the receiving side needs

Slow down first

Embedded or linked is not a matter of absolute right or wrong. For print handoff, the point is whether the file can be reopened, checked, and traced by version. Linked images plus a complete Package are usually better suited to formal production than one oversized AI file stuffed with everything

When is PDF enough, and when do you need to send the original AI file?

Sending only a PDF can be fine, but the conditions must be clear. If the layout is final, no text needs editing, no images need replacing, no special finishing plates need separating, and the PDF already includes bleed, correct dimensions, and high-resolution images, outputting from the PDF is usually the most direct route for the print shop

・PDF only is suitable for: business cards, flyers, stickers, and simple posters, with content fully finalized

・AI package is recommended for: catalogs, packaging, hang tags, product labels, and commercial print pieces that may need image replacement or copy edits

・Original files are required for: die lines, white ink, foil stamping, spot UV, embossing, serial numbers, variable data, and other processes that require plate separation or production interpretation

・At minimum, include a PDF: whether or not you send the original AI file, include one final PDF so the receiving side can compare the visual result

・01_AI: place the Illustrator main file here, with the file name matching the folder version

・02_PDF: place the final PDF here, plus a low-resolution JPG or PNG preview if needed

・03_Links: place the linked images, PSDs, EPS files, and placed assets collected by Package here

・04_Fonts_or_Font_Note: place legally deliverable fonts here, or clearly note that text has been outlined and list the font names used

・05_Process: place notes for die lines, foil stamping, spot UV, white ink, embossing, and other finishing layers

The revision record does not need to be a long report. Three lines are enough. For example: v01 first draft, v02 product image revisions, v03 final file for print. This kind of record lets the brand team, designer, and print shop talk about the same version
