Illustrator Linked Image Handoff Checklist

An Illustrator linked image handoff should include at least 6 types of materials: the original AI file, a print-confirmation PDF, a Links folder for linked images, font handling notes, dieline or finishing layers, and version information with revision history. Corporate catalogs often contain more than 20 product photos. Packaging often includes dielines, white ink, foil stamping, or spot UV layers. Posters often use large photographic images. These 3 types of projects are most vulnerable to the same problem: the AI file looks complete on the designer’s computer, but when the print vendor opens it, only low-resolution previews remain

I recommend using a consistent 5-level handoff folder structure, so whoever takes over does not have to guess

・01_AI: place the final original AI file here, with the date and version in the filename, such as brand-catalog-20260717-v03.ai

・02_PDF: place the print-confirmation PDF here, so sales, prepress, and the client can review the same version

・03_Links: place all original linked image files here, not just screenshots or compressed preview images

・04_Fonts_or_TextNote: place deliverable font files if licensing allows it, or note which text has been outlined and which text remains editable

・05_Process: place dielines, finishing, white ink, foil stamping, varnish, proofing notes, and revision records here

When I review handoff files, I have a very simple but useful habit: before judging whether the design looks good, I first check whether the folder lets a stranger take over within 5 minutes

Once that works, then we can talk about color, paper, and finishing

A linked image is an external image that Illustrator reads through a file path. The AI file stays smaller, and the image can be edited separately, but the original image must be included in the handoff

An embedded image stores the image data directly inside the AI file. It is less likely to go missing when opened, but the file becomes larger, and it is harder to trace the original image version

The advantages of a linked image are clarity, easier management, and easier updates. After retouching a product photo, you only need to replace the file with the same name or relink it, and the layout will update accordingly

For large corporate catalogs, packaging series, and resized versions of event posters, I usually recommend using linked images because the chance of later image revisions is high

An embedded image is suitable for small one-off finished artwork, assets that are confirmed and will not be retouched again, or as a fallback when the client cannot organize the original images

But I would not treat embedded images as universal insurance. Once the file becomes large, opening, saving, and exchanging versions all become slower, and it is also less straightforward for prepress to inspect the original image information

The way to check is simple: open Illustrator’s Links panel and look at 3 things

・If there is a link status beside the image, it is still a linked image, and the original image file must be handed off with it

・If the image shows an embedded status, it has been embedded in the AI file, but you still need to confirm resolution and color mode

・If the image shows missing or modified, the path is broken or the original image has changed, and this must be fixed before handoff

When MINDS or MINDS Printing receives a print-ready PDF for standard products such as simple business cards, basic stickers, or files with no need for later image revisions, the PDF can often enter the checking process on its own

For mid- to high-end custom commercial printing, packaging proofs, and catalogs that will be updated over time, it is best to include the original AI file and Links. This saves a lot of back-and-forth the next time prices need changing, product photos need replacing, or another language version needs to be added

Package is Illustrator’s feature for collecting the AI file, linked images, and fonts into the same folder. It is well suited for final file collection before handoff

In practice, I treat Package as the “clean up the desk” step before handoff, not as an emergency image-repair step after the client starts chasing files

In Illustrator, you can use File > Package to collect the linked images and collectable fonts used in the file. After packaging, open the AI file from the new folder and check it once more

I recommend completing the process in 7 steps

・Close unnecessary files and keep only the final AI file open, so the wrong version is not packaged

・Save the file once first, so the Links panel status updates to the latest state

・Open the Links panel and resolve missing links and modified links

・Run File > Package and output to a new handoff folder

・Check the Links folder generated by Package, and confirm that the number of images matches the layout requirements

・Reopen the new AI file from the packaged folder and confirm there are no missing image warnings

・Save a separate PDF and compare it page by page against the AI layout

Relative paths are a small detail many people overlook

When the AI file and the Links folder sit inside the same handoff folder, Illustrator is more likely to find the images by following that folder relationship. If you put the AI file on the desktop, store the images in a cloud-sync folder, and then send the print vendor a compressed file, that path usually does not exist on their computer

Filenames also need control. Do not make prepress guess between IMG_4382-final-final-use-this-new.psd and corrected-image-actual-final-version.tif

・Use half-width English letters, numbers, hyphens, or underscores to reduce the risk of garbled text across systems

・Keep one identifier for the same product photo, such as sku-1024-front-cmyk.tif

・Do not use “new,” “final,” or “revised again” as version control. Use dates and v instead:

・01, v

・02, v03

・After updating an image, do not just overwrite the cloud file. Reopen the AI file and confirm that the Links panel has no modified links

For print images, check at least 4 things: color mode, effective resolution, scaling after cropping, and the appearance of transparency and effects

If these 4 things are not checked, even a PDF that looks beautiful on screen can still produce color shifts, blurry images, or layer output problems in production

Effective resolution is the actual output resolution after an image has been placed into the layout and scaled. If the same image is enlarged 2 times, its effective resolution drops to half of the original

For general commercial printing, 300 ppi is commonly used as the benchmark for checking images. This is not a magic number; it is the practical safety line for most catalogs, packages, and posters viewed at a normal distance

For large posters viewed from far away, the requirement can be evaluated separately based on size and production process. For a close-up product image placed beside small text, the resolution cannot be too loose

Color mode also depends on use

・CMYK: commonly used for most general print-ready artwork, suitable for four-color printing on paper

・RGB: brighter on screens; if sent directly to print, conversion may reduce bright blues, bright greens, and fluorescent-looking colors

・Spot color: may be used for packaging, brand colors, foil stamping, white ink, or special colors. Names must be clear and must not be mixed together with regular swatches

・Grayscale: usable for black-and-white photos or single-color printing, but black plate gradation and output settings must be confirmed

Placed PDFs also require special care

Some designers place a client-provided PDF into AI as if it were an image. The artwork may be visible, but the PDF may contain low-resolution images, RGB objects, fonts that are not embedded, or complex transparency effects. Prepress may not be able to fix it as cleanly as an original image file

For packaging and catalog projects, I recommend exporting 1 PDF for visual confirmation before handoff, while keeping the AI file and Links for prepress processing

If the project goes through a mid- to high-end fully custom workflow like MINDS printing, the original files give more room to evaluate paper, finishing, dielines, and color correction. If it is retail printing with a standard size, no finishing, and no need for revisions, submitting a PDF according to the specifications through MINDS Printing’s online ordering flow will be more efficient

The conditions for submitting only a PDF are very clear: the size is correct, bleed is sufficient, fonts have been handled, image resolution is adequate, and there is no content that the print vendor needs to revise

If any of these 5 conditions has not been confirmed, do not treat PDF as a universal handoff file

Cases where submitting only a PDF is suitable

・Standard business cards, flyers, stickers, and simple posters where size and paper have already been confirmed

・Content has already been approved by the client, with no need for the print vendor to edit text or replace images

・The PDF includes bleed and crop marks, and fonts are embedded or outlined

・There is no missing link risk, because the PDF itself is already usable for prepress checking

Cases where the original AI file and Links must be included

・A corporate catalog may still need product photos replaced, prices changed, page numbers added, or language versions adjusted

・Packaging includes dielines, white ink, foil stamping, spot UV, embossing, or other finishing layers

・A poster uses large-format image output, and prepress needs to check the effective resolution and crop of the original image

・The client requires future editing ability, and the project may be reprinted or extended into a series

・The print vendor has explicitly requested original files, which usually means more information is needed to judge the production process

I treat file handoff as a manufacturing handoff, not simply sending files

What the design side sends out is the visual layout. What the printing side receives is materials, paths, production processes, and boundaries of responsibility. A missing Links folder between the two can mean one rejected file, one extra revision, or even one reprint

Before handoff, scan through this 10-point checklist. It usually catches most linked image problems

・The original AI file can be opened on another computer

・The packaged Links folder exists, and no images are missing

・The Links panel has no missing or modified warnings

・Image filenames use half-width English letters, numbers, hyphens, or underscores

・Image color modes match the print use, and RGB images have been evaluated for conversion results

・Important images have effective resolution close to print requirements, without forcing low-resolution web images to carry the job

・Placed PDFs have been checked for fonts, color, transparency, and image quality

・Dieline, finishing, white ink, foil stamping, and similar layers are clearly named

・The PDF preview and AI layout have been compared page by page

・File version, revision date, and contact person are written in the handoff notes

・The key to an Illustrator linked image handoff is not whether the image appears on your screen, but whether the print vendor can still find the original image after switching computers

・Package is the file-collection step before handoff. After packaging, reopen the AI file from the new folder and confirm there are no missing links
