'It Looks Fine on My Screen' — So What's the Problem?
I get this question a lot. Designers hand off files with full confidence: 'I checked it, it's fine.' Then the print shop finds missing bleeds, missing fonts, or wrong color modes right before the press run. Both sides feel wronged, but the real issue is the phrase 'print-ready.' Designers mean 'visually finished.' Print shops need 'prepress conditions ready for plating.'
Between those two standards, there are five gaps that come up constantly. I'll go through each one. Every item on this list is something a press operator has pointed at a screen and complained about in my ten-plus years on the production floor
・Color management gap: screens emit RGB light, ink reflects CMYK. They're fundamentally different
・Different ideas about bleed and safety margins: designers often use 3mm, but print shops factor in paper type and finishing conditions
・Missing font risk: fonts installed on the designer's machine may not exist at the print shop. An un-embedded PDF just substitutes them
・Resolution after rasterizing: looks fine on screen, but at 300dpi output it's blurry
・Compatibility with specialty substrates and finishing: a designer specs gold foil stamping but simulates it with standard CMYK layering
These five points don't mean designers aren't professional. They mean the two industries just need a shared language at their working interface

Why Does It Look Perfect on Screen but Come Out Wrong?
Color is the most common source of conflict between designers and print shops. Design software defaults to sRGB screen display; the production side needs CMYK ink data. The conversion between the two isn't a one-click fix. It involves ICC profiles, paper whiteness, press ink characteristics, and more
The most common situations:
・Un-calibrated monitor: the designer's screen runs blue or warm and they can't tell. It only shows up after printing
・Out-of-gamut colors after RGB-to-CMYK conversion: saturated blues, greens, and fluorescent colors go noticeably darker or muddier in the CMYK gamut, and the designer never pre-converted them
・Mixing RGB black and CMYK black: RGB black just looks black on screen. Going into the press, K100 alone is one thing, but stacking C/M/Y into a 'rich black' changes drying time and setoff risk entirely
・Pantone and CMYK mixed without marking: the logo uses a Pantone spot color, everything else is CMYK, but the file doesn't flag the spot color channel. The shop runs it as four-color process and the color drifts
Before anything goes to press, I always ask for the ICC profile attached to the design file, or a clear note saying 'no color correction.' The first gives the production side a reference and sets expectations for any gap; the second means the client is taking on the risk, and responsibility is clear. Get the rules straight upfront, and there's no confusion later
Bleed and Safety Margins, Is 3mm Really Enough?
Design textbooks say 3mm bleed, and that number usually holds for standard print pieces like A4 single sheets or small saddle-stitched booklets. Swap in any special finishing and it immediately falls apart
・Saddle-stitching or perfect binding: 3mm bleed is workable, but add extra margin on the spine side for binding shift (typically 3–5mm)
・Die-cut cards or boxes: 5mm bleed is better. Slightly larger cutting variance will expose a white edge
・Specialty finishing like foil stamping or embossing: both bleed and safety margin need to be larger, or a shift in finishing will eat into design elements
The 'safety margin' is the distance between design elements (text, logos, key visuals) and the trim line. A 3mm bleed doesn't mean you can place those elements 3mm from the trim line. You generally need another 3–5mm inset on top of that, to account for cutting and finishing variation
This is where custom packaging trips people up most. A designer creates a full-bleed pattern, thinks 3mm covers it, and the curved edges come out crooked or the box lid doesn't line up. Press operators don't blame the design. They blame the fact that nobody agreed on the tolerance for that specific job at the start

What Happens When Fonts Aren't Embedded?
The print shop opens the PDF and the type has changed. Not a typo, just swapped to a system default. I've seen this well over a hundred times
The font embedding problem, at its core: your computer has a certain font installed, so the PDF records 'display this font here' but doesn't actually bundle the font file into the PDF. If the other machine doesn't have that font, the PDF auto-substitutes a default (usually Times New Roman or a system Ming typeface), and the layout falls apart
・Full embedding: the entire font file is packed into the PDF. File size increases, but it's completely safe
・Subset embedding: only the characters actually used are embedded. Smaller file, but some font licenses don't permit subsetting
・Convert to outlines (vectorize): text becomes vector curves with no font file dependency at all. The safest option, but you can't edit the text afterward
My own habit: convert text to outlines and keep the original editable file on my end. Outlines mean the print shop will never have a problem; the source file is there if I need to make changes later. If a client insists on an editable PDF, require full font embedding and confirm the license allows it
Resolution for Raster Images, How Much Is Enough?
A designer pulls an image off the internet or submits a 72dpi screen-resolution file. The press needs 300dpi or higher, and the result is blur, jagged edges, and color banding
The math is simple: actual image size (cm) × required print dpi (typically 300) = pixels needed. A 10cm-wide image needs at least 1,183 pixels across. It can look big on screen and still not have nearly enough pixels
A few rules of thumb from the production floor:
・Photos: at least 300dpi, ideally with 5–10% extra
・Halftone or scanned material: same
・Line art or logos: vector first. No resolution issues
・Images downloaded from the web: usually only 72dpi. Sending them to press is asking for trouble
Before submitting, designers should zoom images to 100% at actual printed size. If the source is a DSLR or a licensed stock library, it's usually fine. If the material came from a webpage screenshot or a social media download, there's a very good chance it won't hold up

How Do Designers and Print Shops Communicate Without Things Going Wrong?
After those five gaps, it all comes back to communication. The working interface between designers and print shops doesn't run on one side giving in to the other. It runs on shared information
Here's a checklist both sides can use. Designers run through it before submitting; print shops run through it when a file arrives. The overlap is the shared baseline
・File format: PDF/X-1a or PDF/X-4 are industry standards, covering ICC profiles, font embedding checks, and more
・Size and bleed: annotate the finished size (with bleed), paper grain direction, and binding method
・Color settings: note whether spot colors (Pantone) are included, color mode (CMYK or multi-color), and whether a tolerance range for color variation is accepted
・Font status: embedded or outlined. Ideally both (one outlined copy for print, one editable copy as backup)
・Image resolution: scan the whole file and flag anything below 300dpi
・Finishing notes: foil stamping, embossing, spot UV, die-cutting. Mark position and dimensions
・Substrate confirmation: paper name, weight, and coating, with both sides referring to the same product

One last exercise for designers: before submitting, run the PDF through Acrobat's Output Preview. Simulate CMYK separations, Total Area Coverage (TAC, typically kept below 280–320% to prevent setoff and drying problems), and spot color channel separation. If you see a region where ink coverage exceeds 320%, that area might stay tacky, not dry properly, or transfer ink to the back of the next sheet
This takes about three minutes and catches a lot of problems that would otherwise only surface on press. One extra step on the design side means one fewer press stop on the production side

- Depends on the actual pixel count. Looking big on screen doesn't mean the resolution is there. Web images are usually 72dpi; print needs 300dpi for clean output. To check: open the image in your graphics app and zoom to 100% at the actual printed size. If it looks blurry or jagged, it can't be used as-is
