Check Your Layout This Way Before Sending Bulk List Print Jobs — Or Risk Ruining the Entire Batch

When a standard design file has an error, it's typically a single-version problem — fix it and reprint. Variable Data Printing (VDP) is different. Every record in the data corresponds to one finished piece, so a single gap in the layout setup creates errors across every piece in the batch that hits that gap. With a run of several hundred invitation cards, fifty pieces with overflowing names means hunting them down one by one — the printer cannot filter them out for you

Your layout can't make itself smarter — it simply accepts whatever text you feed it. The first checkpoint isn't in InDesign or Word; it's in the data itself

The cleanup priority order is as follows:

・Run Excel's TRIM() across every field, especially name, address, and job title — the three fields most likely to carry extra spaces entered during input

・Standardize character width: A full-width numeral like ２ takes up nearly twice as much space as its half-width counterpart 2 in a fixed text frame. Mixing them directly throws off alignment

・Clean up punctuation: Full-width and half-width commas can differ noticeably in width depending on the typeface. Pay particular attention to layouts where a name is followed by a title

・Tally the maximum character count for each field, and flag any entries that exceed the preset length before they go into the layout — confirm them one by one

This cleanup step typically takes longer than you'd expect. When confirming the list submission deadline with your print vendor, factor in time for data cleanup — an uncleaned list isn't truly done

The Longest String Test is the most frequently skipped — yet most critical — step in layout verification for list printing

The approach is straightforward:

・From the full list, identify the entry with the highest character count for each field

・Populate a single test layout with all those maximum values at once

・Check for text overflow, auto-scaling, or line breaks that fall outside the frame

This step must be performed independently before the final gang-up — you cannot substitute it by test-setting only the first few records. In practice, a 300-record invitation list often has company names that are four to six characters longer than average; a layout field sized to the average will reliably overflow

Once the test passes, there's one more thing to do: treat that maximum value as the hard capacity ceiling for the field. Apply this ceiling to any supplemental print runs or new batches as well. Once that figure is built into your layout specification, you never have to guess again

Alignment Issues in Mixed Chinese and Alphanumeric Text

Chinese characters use a monospaced design — each occupies a fixed square cell. Alphanumeric characters use proportional spacing — each letter has a different width. When both appear in the same field, even a slight misalignment choice can make the layout look loose and inconsistent

A common trouble spot is the address field. Take an address like "Songren Road, No. 100, 12F, Xinyi District, Taipei" — if the numerals "100" and "12" are set in a proportional typeface, they will sit at a subtly different baseline from the surrounding Chinese characters. Viewed at reduced size across a full batch, the entire column of addresses looks misaligned. The fix is to decide during the design phase which type of numeral face to use — either standardize on a monospaced typeface, or explicitly define the baseline alignment for mixed-script fields. Do not adjust by eye

Default Handling for Missing Values

Missing values in a list are inevitable — that's just reality. A blank "Title" field, an unfilled "Company Name," an address that only has the city with no street detail — your layout must pre-define the display logic for every field when its value is absent:

・Leave it blank and shift subsequent fields forward to fill the gap?

・Insert a placeholder value (such as "–" or an empty string) to maintain the layout structure?

・Flag the entire record as pending confirmation and exclude it from this batch?

This decision must be confirmed with the print vendor after receiving the list but before sending the layout. Without a pre-defined rule for missing values, you may only discover that half your finished pieces have large blank gaps in the layout after they've already been printed — and at that point you're in real trouble

Once the layout is set, the data is cleaned, and the Longest String Test is done, there are still two steps you cannot skip

Spot-Check Proofreading

Draw a representative sample from the full list and verify each record individually. The selection principles are:

・Always check the first and last records (the beginning and end are most prone to import misalignment)

・Always check the records with the longest field values

・Always check records that contain missing values

・Always check the records with the highest proportion of mixed Chinese-English text

For a list of two to three hundred records, selecting 15 to 20 entries according to these criteria typically covers most problem types. You don't need to manually review every record, but these specific categories must be verified with your own eyes before the job can be considered cleared

PDF Proof Confirmation

Output a final PDF proof and verify three things:

・Whether all fonts are fully embedded (check via Document Properties in Acrobat; fonts that fail to embed will shift or be substituted at print output)

・Whether all layout fields appear as static text in the PDF, not as editable live text layers

・Use output preview to confirm that the bleed and live area boundaries have not shifted due to gang-up scaling
